When you need a door-to-airport service
Under this service a Chinese air freight forwarder picks the cargo up at the factory, brings it into the warehouse, prepares and checks the export documents, books the airline, and uplifts the freight to the named US airport. The buyer already has a trusted US forwarder to handle the American end, so it only needs a reliable Chinese partner to complete the origin side on time.
The trigger is almost always EXW. A meaningful share of Chinese factories — particularly in Guangdong — do not trade directly and are not registered with China Customs for import and export. Preparing a complete export declaration pack is bureaucratic, and many factories simply will not do it. Buyers who source from these factories pay a lower unit price in exchange for arranging the export themselves, which is exactly what a door-to-airport service provides.
Paying for the freight: why CIF and EXW often end up the same
In practice many consignments are invoiced on terms that make the seller responsible for the booking, while the buyer ultimately carries the cost. Two practical reasons drive this:
- Payment timing. A wire transfer from the United States to China takes two to three days, but the air freight invoice has to be settled before the flight can be confirmed — often within half a day. Most forwarders will not uplift unpaid freight. To protect the schedule, buyers frequently fold the freight into the payment to the supplier and let the supplier settle the Chinese forwarder directly.
- No established origin partner. A buyer without a long-standing Chinese forwarder has nobody to issue the booking, so the supplier becomes the practical route to the airline.
Consolidation: the real reason this service is so widely used
The second common scenario is a buyer sourcing from several Chinese suppliers, or purchasing on Taobao or through 1688, who needs a Chinese forwarder to collect everything into one warehouse and ship it as a single consignment. This is where door-to-airport earns its keep:
- Air freight rates are quoted in weight breaks, and consolidating several small shipments into one consignment moves you into a lower per-kilogram break;
- Export customs declaration, US import clearance and forwarder fees are charged per consignment, not per carton, so ten shipments consolidated into one pay those fixed costs once instead of ten times; and
- A single air waybill means a single tracking reference and a single pre-alert to your US broker.
This is the most cost-efficient structure for multi-supplier, small-batch cargo, and it is the service we recommend to any buyer sourcing from more than two factories.
Door-to-airport compared with sea freight door-to-port
Door-to-airport is more widely used in practice than the equivalent sea freight door-to-port service, for a simple cash-flow reason: an ocean carrier can be paid after the container has sailed, because even the fastest China–USA crossing takes around eleven days and there is time to arrange the transfer. Air freight has to be paid before the aircraft leaves, sometimes within hours of the quote.
